Minutes from Board of Directors Meeting
Tuesday, September 14, 2010
DVCC Members present: 19
Pledge of Allegiance was made. Meeting called to order at 9:05 a.m.
Roll Call: Present: Tana Ullman, Jim Cook, Gene Espey, Judy Ford, Janet Massey, Linda Roujon, Hugh Rush and Gordon Watson. Excused: Steve Holleque, Dan Hudson, Patty Thorpe, Frances Skaggs, Doris Gruner, Red Westall, Maddy Leckey.
Approval of Minutes: Janet Massey moved to accept the minutes from the May 11, 2010 meeting. Hugh Rush seconded and motion was passed.
Treasurer's Report: Gene Espey announced that financial statements are posted on the bulletin boards.
Administrative Services Manager's Report: Summer afforded time for office housekeeping. Sale of homes in DV continued during the summer, including tours of the facility. Charles Dubbs has worked with Gordon Watson re complaint committee and new "door hanger" notices. County Code Enforcement officer, Ms. Davis, continues to keep us informed. Until the recent break-in, summer was fairly quiet with no major problems. Reminder: sign in and out for all activities. Usage is being tracked.
President's Report: Due to recent break-in at DVCC offices and facilities, contractors will be replacing the doors with steel doors to enforce our security. This will take time and your patience is requested. The two suspects have been caught and we will be informed as developments take place.
We are again being sued by 11 DVCC community members. Please remember that monies to pay for these legal expenses come out of your dues payments.
STANDING COMMITTEE REPORTS:
Maintenance and Pool Committee: Steve Holleque will report at next meeting.
Membership: Nancy Cole will have a report at next meeting.
Complaints: Report on file. There were 36 door hanger complaints, 26 of which are closed and 10 remain open to date.
Entertainment: The Citizen will contain an article soliciting people to be in charge of our entertainment. At this time, a sock hop is scheduled for November 19th. It's a free dance for community members. Come on out - will be fun! Other dances are scheduled this year.
Library: Janet Massey reported. Totals for summer months of June, July and August: volunteer hours 116; number of members 269; books checked out 1088 and librarian hours 77. Detailed report is on file.
Mark your calendars for the Book Sale on Nov. 13th at Farnsworth from 8-2:00.
Hobbies, Crafts, Indoor Activities: Hugh Rush will report in October.
Outdoor Recreation: George Sheppard reports that Pickle Ball is now ready in front of the Farnsworth Bandshell. There will be instruction 8:30 there tomorrow (Sept. 15th)
Kitchen Committee: George Sheppard requests kitchen volunteers attend a meeting on October 7th at 1:00 p.m. at Farnsworth with a food inspector. Important information. Next Pancake Breakfast is on October 16th. George will also contact volunteers whose kitchen licenses are ready to expire.
Nature Walk: Report will be made in October.
Welcoming Committee: Hazel Dubbs will report in October.
Bingo: Judy Ford reported that DVCC will not be hosting Bingo this year. We barely broke even last year and cannot compete with some of the parks offering larger prizes. We are keeping open the possibility of Bingo at DVCC next year.
Long Range Planning: Report will be made in November, when Chairman Dennis Zurbay returns to Mesa.
AD HOC COMMITTEE REPORTS:
50TH Anniversary Committee: Judy Ford announced there's a handmade, queen- sized quilt with shams for raffle in the office - take a look. Week of February 14th - 19th, 2010 is special week of DVCC anniversary celebration. Many activities are planned.
Website Committee: No report at this time.
OLD BUSINESS:
Shuffleboard Walkway Paint Removal: George Sheppard reports that paint has been sanded off which should solve this problem.
Complaint Procedures: Charles Dubbs introduced the new door hangers for complaints. They are available in the office. To date, they have been working out well.
New Business:
Nominating Committee Appointments: President Ullmann has nominated Bea Westall as Chairman and Nancy Cole as her assistant. This is to nominate members to fill vacancies left by outgoing board members.
New Policy and Procedure on Website: Jim Cook made a motion that the new Policy and procedure re DVCC website be accepted. Linda Roujon seconded this motion. Discussion followed as Jim reported there are many ramifications dealing with the set-up of any new website. More information to follow at next meeting.
Modification to Committee Policy and Procedure: At this time, Jim Cook is requesting that the Website P & P be listed as a Standing Committee Report, rather than an Ad Hoc Committee report, for purpose of DVCC Agendas and Meetings. Agreed.
Other New Business: The DVCC Audit Committee Report for Year Ending December 21, 2009 was approved.
Meeting was adjourned at 10:00 a.m.
