Board Meeting minutes - January 8, 2013

January 8, 2013
After an Open Forum, the meeting was called to order by President Red Westall. The Pledge of Allegiance was recited. Board Members present were Steve Holleque, John Mathews, Frances Skaggs, Patricia Thorpe, Jerald Westall, Larry Wilkens, Lyle Wood. Absent but excused were Wendall Black, Agnes Forsyth, Doris Gruner and Lee Trevigne.

Without a quorum no issues could be voted on at this meeting; discussion only.

Treasurer’s Report. Patty will be able to produce an end of the month/year report after a CPA completes the end of year closing entries next Friday. Due to the bankruptcy issues, there are two sets of books that need to be reconciled. When the 2012 report is finalized, it will be published in the Citizen, placed in Board Members’ boxes, and posted on the bulletin board. As of Monday, January 7, approximately $169,584 has been received from memberships.

Jackie Young, new office manager, reported that 1346 Membership Cards and 134 Social Member Cards have been issued as of January 7. One hundred sixty statements are being processed. Home sales are continuing and potential buyers are calling the office and are questioning the Senior Overlay. An issue to be discussed at the study session is whether or not social cards are issued to renters and homeowners and what are the voting rules for multiple home-owners who rent their properties.

Steve Holleque reported that the Read pools passed inspections with 100% approval and the Farnsworth kitchen received an A score. If a person isn’t happy with the temperature of the lap pool, please let him know.

George Sheppard said that anyone working the kitchen needs to refer to the rules in the bylaws.

Karen Petersen, Membership Chairperson, reported about 120 memberships a day are being received.

Gordon Watson reported that complaints as of January 8 were: 1 old, 2 new and 3 open. At the county level, there were 28 complaints; 7 are open and 21 closed.

Harry Cole is filling in temporarily as the Entertainment Chairman. He said the Molly B ticket sales were excellent; polka bands are often used because they don’t cost any money (except the hall costs), Nydia had a good turnout for the jam session, and updated brochures will soon be available. Harry would like someone to step forward and take this position.

Larry Wilkens reported that the porta-potty will stay in place until May 1 so the Bocce Ball players can use it. He has organized the nature area cleanup and has volunteers to assist – meeting on January 16th at 9:00 AM at Farnsworth. He said protective clothing is essential.

John Mathews said he was able to get Eagle Scouts from a troop to help with the Nature Trail. The scout leader will be asked to contact Larry to set up their project and see if they can do continual maintenance.

Lyle Wood reported contracts coming due are John’s Villa and Maranatha Church. The church has requested a decreased charge due to declining attendance. Research will be done and it will be discussed at the study session.

Ralph Shirey reported that outdoor activities are going strong. He is working with Harry Cole to sell refreshments at Farnsworth events in order to earn money for outdoor game equipment.

The Photography Club is doing a display-show at the January Pancake Breakfast.

Hazel Dubbs reported the Welcoming Committee did not have an orientation meeting in December. The January meeting will be at 7:00 PM tonight (January 8) in Read Hall. Twenty-eight invitations were mailed to recent home buyers. The February meeting will be rescheduled due to a conflict and will be announced in the Citizen.

Dorothy Randall reported that members submitting articles to the Citizen need to submit them also to the Website. This will help keep the web-site up to date.

Dave Senke, Nominating Committee, will introduce candidates for the board election at the General Meeting today. He will take nominations from the floor. The committee will soon print the ballots and arrange for people to work at the polls. Absentee ballots will be available at the office ten days prior to the election which is Tuesday, February 12. There are 8 candidates but more are needed.

The “Concerned Citizen” letter cannot be published in the Citizen since it was not signed. If the writer is willing to sign it, it can be printed.

Other issues were tabled until the Study Session and next Board Meeting.
