Board Meeting Minutes - February 8, 2011

Open forum was held and pledge of allegiance was made. Meeting called to order at 9:03 a.m. 

Present were: Jim Cook, Gene Espey, Judy Ford, Doris Gruner, Steve Holleque, Dan Hudson, Janet Massey, Linda Roujon, Hugh Rush, Frances Skaggs, Patty Thorpe, Gordon Watson, Red Westall, Gale Sabatino and Agnes Forsyth. 27 people attended.
 
Approval of Minutes: Motion was made by Red Westall to approve the minutes from the January 11, 2011 Meeting. Motion Passed.
Treasurer’s Report: Gene Espey handed out a Budget Variance report, which will be posted. A CPA firm has been hired by DVCC.
Administrative Services Manager’s Report: Report on file. Charles Dubbs reminded all that a property caretaker must be arranged for by persons leaving for summer months. Names and phone numbers must be given to the office. Emergencies can and do occur. Properties are expected to be kept weed free and in good order.
President’s Report: Dan Hudson informed us of new board members elected:   Jim Cook, Gale Sabatino, Aggie Forsyth, Gloria White and Steve Peters. Only 183 people voted. DVCC website is up and running: dreamlandvilla.org.
 
Standing Committee Reports:
Maintenance and Pool Committee: Steve Holleque. Reports on file. Frances Skaggs suggested the maintenance report be posted on the bulletin board. Will be done.
Membership: No report. (Nancy Cole is out of town.)
Complaints: Gordon Watson. Report on file.
Entertainment: Ralph Shirey. Report on file.
Library: Janet Massey. Report on file.
Hobbies, Indoor Activities: Hugh Rush.
Outdoor Activities: George Sheppard.
Kitchen Committee: George Sheppard. Potluck 2/17; Pancake Bkfst 2/19. ($2 with Kee card.)
Nature Walk: Red Westall thanked all who helped in clean-up. Debris remaining to be hauled away shortly.
Welcoming Committee: Hazel Dubbs. Report on file.
Long Range Planning: Dennis Zurbay. Maintenance Dept. to begin five-year study of needs, etc. Asked that the Board develop a Mission Statement and future plan.
Website Committee: Dorothy Randall. New Website is 28 days old and source of good communication. Much more to follow. Thanks to Gene Miller. Again, dreamlandvilla.org. 
 
AD Hoc Committee Reports: 
50th Anniversary:   Judy Ford. This is next week! Activities listed in Citizen. Tickets available in the office. Awards Banquet on Saturday, Feb. 19th with Dinner. Mr. Farnsworth will attend.
Nominating: No report.
 
Old Business:
Pickle Ball Court Relocation: Judy Ford moved to take this off the table. Motion Passed. Research ongoing; bids needed, etc. Judy Ford moved to table again to March meeting. Motion Passed.
 
Pool Chair Lift: Judy Ford moved to take this off the table. Motion passed. Judy Ford researched prices and ADA regulations. Found to be cost-prohibitive for DVCC, being a $22K plus expense. We would not be liable under the ADA. Suggested people use the pool at Fitness Works, (Recker & Brown) which has the capability and many insurance plans cover membership.
 
Polka Klub: No longer an issue, they revoked their intent to rent Farnsworth Hall.
 
Maintenance Supplies for Shuffleboard Courts: Gene Espey moved to untable. Motion Passed.  Lengthy Discussion. Jim Cook made a motion that Shuffleboard Club hold a fundraiser event and keep all monies taken in. Motion passed. (Aggie Forsyth opposed.)
 
New Business:
DVCC engage independent firm for Reserve Study? This is now required by State legislature. Gene Espey moved that DVCC Board hire a firm to do a funding reserve study. Motion passed.
 
Modify the P & P’s on Committees to Delete the Audit Committee? At January mtg, the Board modified the By-Laws to do away with Audit Committee. Jim Cook moved that the Administrative Policy and Procedure on Committees be modified to delete Section VI, A, 1 relating to the audit ad hoc committee. Motion passed.
 
Announcements: 
President Hudson reminded us that people are needed to serve on various committees. Please contact the office if you are interested or know of someone who might be.
 
There is a Court of Appeals hearing on Thursday, February 17th  at 9:30 in downtown Phoenix re lawsuits. (1501 West Washington Ave, State’s Courts Bldg, Department B, Courtroom 1.) Group to carpool there.  Contact the office.
 
There being no further business, the meeting adjourned at approximately 10:40 a.m.
