Board Study Session Minutes - January 2, 2013

The meeting was held on Wednesday, January 2, 2012 at 9:00 AM.

President Red Westall called the meeting to order and eight members were present: Steve Holleque, Frances Skaggs, Patty Thorpe, Red Westall, Larry Wilkens, Lyle Wood, John Matthews, and Lee Trevigne. Absent but excused: Aggie Forsyth, Dodie Gruner, and Wendell Black.

Red Westall: Trying out new seating arrangement for the Board to facilitate a faster meeting. No secretary has been found so Andrea Hill remains as a temporary.

New Business:
Possible new street signs for Dreamland. Lee Trevigne volunteered to check on city and county regulations regarding signs. Info is available on the Internet. This year’s budget has no provision for new signs. He will make calls regarding the weed problem in DV.

Harry Cole has agreed to help Red Westall with the entertainment planning for Farnsworth Hall.

Discussion about charging/not charging/ asking for donations for events at Farnsworth Hall. Perhaps fewer activities would be better attended, and better advertising is needed. Up to date information is printed in the new Citizen and on the DVCC web site.

Thanks given to Patty Thorpe for the successful December Potluck and New Year’s Eve party.

President reported that the two scout troops he asked declined to help with the nature trail clean-up. John Matthews will ask another troop.

Larry Wilkens chose Wednesday, January 16th at 9:00 AM for the first nature area clean-up day. He has some volunteers to assist. They will meet at Farnsworth Hall. Subsequent clean-up date/s will be chosen to complete the job and will be advertised.

“A letter from a concerned citizen” was read and all agreed it should be printed in the Citizen.

The nominees for Board election need to be informed the questions they will be asked are available for perusal in the office.

On February 8 at 2:00 PM, a General Session Meeting will be held at Farnsworth Hall. Hopefully, a Maricopa County Representative will give information on county code violations and how complaints are handled.

From 8:00 AM to 7:00 PM in Read Hall on February 12, the voting takes place for the Board election. The nominating committee will choose two observers and two ballot counters.

Patty will draft wording for a rule for the bylaws concerning Board members who quit and want to run for office again.

Possible changes to the Rules and Regulations regarding Read and Farnsworth usage were discussed. Any changes in fees or rules will be discussed and voted on at a Board meeting.

Kitchen cleaning concerns with suggestions for improvements were discussed. A person certified to handle food and/or manage the kitchen must be present when kitchen is operational and proper use and cleaning rules are clearly posted. There needs to be better accountability.

The membership drive is on track with what was collected last year at this time. Kee Cards are beginning to be mailed.

It was decided not to have an open house this winter. A date for January 2014 will be chosen early and advertised to insure good attendance. Announcement for it could be put in membership letter.

Question about ability to show TV programs in Farnsworth was discussed. WiFi and Hot Spot will be investigated for possible future events such as a Super Bowl party.

Real Estate agents need to be better informed about DVCC 55+ overlay.

The Board will discuss soon the law firm that is now retained, whether to keep the firm or dismiss them and hire a new one.
